Scribe alternative: Guide Workspace vs Scribe

By Jason Ramirez, Your Friendly Developer. Published November 4, 2026. Updated November 4, 2026.

The fast answer

If you want screenshot redaction and file exports without a per-seat subscription, Guide Workspace does both free, locally in Chrome, with no account. If you need team collaboration, desktop or mobile capture, AI capture, or single sign-on, Scribe's paid plans are the stronger product and this page says so plainly. One hard limit on our side: Guide Workspace is a beta for practice workflows, training material and SOP drafts — not live customer data.

What each tool is, and is not

Guide Workspace is a free Chrome extension that records your clicks on a supported web page and turns them into a step-by-step guide with screenshots you can edit, redact and export. Guides live in your browser profile. It is not a team platform, it has no cloud sync, no AI capture, and it only works on web pages in Chrome.

Scribe is a commercial documentation platform. It captures processes across web, mobile and desktop apps on paid plans, hosts guides in its cloud, and adds team workspaces, comments and AI features. It is not free for the features most switchers want: redaction and exports are paid-plan features, and every editor is a billed seat.

Guide Workspace is best for solo guides on a budget

Best for a solo operator, trainer or consultant drafting how-to guides in Chrome who refuses a per-seat bill for redaction and exports, and who wants files on their own device. Not for teams, not for desktop apps, and not for live customer data while it is in beta.

Scribe is best for teams that document everything

Best for teams that capture processes across web, desktop and mobile, share workspaces, and need admin controls or single sign-on. Not for anyone counting per-seat costs, and its free plan is not for people who need redaction or exports.

The worked example: one year, real prices

Take a solo consultant who needs to redact screenshots and export PDFs — the two features that push Scribe users onto a paid plan. On Scribe Pro Personal that is $25 per month billed annually: $300 for year one. On Guide Workspace it is $0, because redaction and exports are in the free extension. Planned Pro is $59 one time, if it launches at all.

A five-person team pays more for the collaboration Guide Workspace does not have: Scribe Pro Team starts at 5 seats, 5 × $13 × 12 = $780 for year one. That buys comments, shared workspaces and desktop capture. If your team needs those, the $780 is buying something real. If it does not, it is a subscription for features you already have free.

“But Scribe is free, and a beta sounds risky”

Scribe Basic is free, and for plain web guides with a shareable link it is genuinely useful. The catch is precise: Basic does not include screenshot editing and redaction, and it does not include export to PDF, HTML or Markdown. Those are the features most people go looking for an alternative over, and both are paid.

On the beta concern: you are right to be careful, and we will not talk you out of it. Guide Workspace was tested with made-up information. Use it with sample data, check every picture, and cover anything private before sharing. If a workflow involves real customer records, it does not belong in this beta.

Guide Workspace Pro: $59 one time, only if enough people want it

Pro would add power features for weekly guide builders. It will never gate exports: full local exports stay free either way. Join the waitlist to be counted and to get one email if Pro launches.

How to choose

Frequently asked questions

Is there a free Scribe alternative?

Yes. Guide Workspace is a free Chrome extension that records step-by-step guides with screenshots, including redaction and exports at no cost. It is local and single-user, where Scribe is cloud-based and team-oriented.

Does Scribe charge per seat?

Yes. Checked November 4, 2026, Pro Personal is $25 per seat per month billed annually, and Pro Team is $13 per seat per month billed annually with a 5-seat minimum. Guide Workspace charges nothing per seat; its planned Pro is a single $59 one-time payment.

Can I export a Scribe guide without paying?

On Scribe's own plan lists, export to PDF, HTML and Markdown is a Pro feature, not part of the free Basic plan. Guide Workspace includes HTML export, print to PDF and an editable .guide backup in the free extension.

Where does Guide Workspace store my guides?

In your Chrome profile, on your device. Nothing is uploaded to a cloud service and no account exists. The trade-off is that local storage is not a backup, so export .guide files you want to keep.

Is Guide Workspace ready for real customer data?

No. It is a public beta tested with made-up information. Use it for practice workflows, training material and SOP drafts, check every picture, and cover anything private before sharing an export.
