MagicHow alternative: Guide Workspace vs MagicHow
By Jason Ramirez, Your Friendly Developer. Published November 5, 2026. Updated November 5, 2026.
The fast answer
MagicHow is the low-price cloud option in this field — $10 per seat per month on annual billing — and its free plan even includes PDF export, which is more than most rivals give away. So the difference here is not really the seat price. It is the model: Guide Workspace needs no account, uploads nothing, includes redaction free instead of as an Advanced feature, and has no per-viewer meter at all, because an exported file is just read. If you need a real-time collaborative editor or desktop capture, MagicHow's paid plans are the stronger product and this page says so plainly. One hard limit on our side: Guide Workspace is a beta for practice workflows, training material and SOP drafts — not live customer data.
What each tool is, and is not
Guide Workspace is a free Chrome extension that records your clicks on a supported web page and turns them into a step-by-step guide with screenshots you can edit, redact and export. Guides live in your browser profile. It is not a team platform, it has no cloud sync, no collaborative editor, and it only works on web pages in Chrome.
MagicHow is a commercial AI-assisted documentation platform. It captures browser and desktop workflows into guides and SOPs inside a shared cloud workspace, with real-time collaborative editing, managed trainings and per-seat pricing — plus, unusually, a charge per viewer beyond a free allowance. It is not a local tool: guides live in MagicHow's cloud behind an account.
How this comparison was made
- Prices: read from MagicHow's public pricing page on November 5, 2026. USD; paid plans are shown at annual billing, which is how MagicHow lists them. Prices can change.
- Seat definition: from MagicHow's own pricing FAQ — paid plans charge for users who have edit permissions; viewers are charged separately beyond each plan's free allowance.
- Feature placement: MagicHow's own plan lists on the same page: the free Starter plan includes PDF export and caps documents at 10; blur and HTML or Markdown export appear in the Advanced plans; desktop capture is paid.
- Guide Workspace facts: from its Chrome Web Store listing (public November 4, 2026, version 0.4.0) and its own help page, written by the developer.
- Field counts: the figures about the 43 listed alternatives come from the Scribe alternatives list on AlternativeTo, reviewed November 4, 2026; pricing model, redaction and export placement were checked on each tool's public pages where published.
- Not tested: no speed, reliability or capture-quality benchmarks are claimed for either product. This is a price, limits and workflow comparison, not a lab test.

How rare is this combination?
MagicHow is not the only comparison that matters. Of the 43 tools listed as Scribe alternatives on AlternativeTo, checked November 4, 2026, about 29 are cloud subscriptions that charge per seat or per creator. Only 8 keep everything local with no account, and only about 5 include redaction free and about 5 include full exports free. A few other tools are local too, and this page does not claim otherwise. The point is the combination: local, no account, redaction baked in, and full exports free, all in one Chrome extension. Nearly every other guide tool gives up at least one leg of the four.
Guide Workspace is best for no meter running at all
Best for a solo operator, trainer or consultant who wants guides with redaction and exports free, no account, no cloud, and no per-viewer charge when people read the files. Not for teams, not for desktop apps, and not for live customer data while it is in beta.
MagicHow is best for small teams on the cheapest cloud seat
Best for small teams that want a real-time collaborative editor, desktop capture and managed trainings at the lowest seat price in this field — and its free Starter plan, with 10 guides and PDF export, is a fair trial. Not for anyone avoiding accounts and cloud uploads, or who needs blur and HTML export without paying.
The worked example: one year, real prices
Take a solo consultant who needs blur and HTML export — the features that push MagicHow users onto a paid plan. Advanced Personal is $10 per month billed annually: $120 for year one. On Guide Workspace it is $0. This is the smallest price gap in our comparison series, and we will say so: $120 a year is not much money. The case for Guide Workspace here is the model — no account, no upload, no meter — more than the money.
Now a five-editor team whose guides are read by 20 people. Advanced Team is $40 per month: $480 for year one, with 5 seats and 10 free view-only members included. The other 10 viewers cost $3 per month each: 10 × $3 × 12 = $360 more, for a year-one total of $840. On Guide Workspace the same team pays $0 and has no viewer count at all, because exported files are simply read. What the $840 buys that Guide Workspace does not have is the collaborative workspace itself — real, if your team works that way.
The exports pledge, in writing
Full exports are free, and they stay free. The self-contained HTML export, print to PDF and the editable .guide backup are in the free extension, and they will never move behind a paywall, never gain a watermark to pay to remove, and never be replaced by a hosted link that stops working when you stop paying. Your exported files live on your device, not on our server — there is no server.
MagicHow deserves credit here: its free plan includes PDF export, which most of this category paywalls. The pledge on this page covers more ground — every export format we ship, free forever, with no viewer ever counted or charged.
“But MagicHow is only $10 a month — why bother?”
It is a fair question, and if $10 per seat is nothing to you and you like the collaborative editor, take it — MagicHow is a reasonable product at a reasonable price. The bother is the model around the price: an account, your captures in someone else's cloud, a per-viewer meter once your readership grows, and blur behind the paid tier. Guide Workspace is for people who do not want a meter running at all — and for workplaces where cloud capture tools are banned outright, no seat price makes them allowed.
On the beta concern: you are right to be careful, and we will not talk you out of it. Guide Workspace was tested with made-up information. Use it with sample data, check every picture, and cover anything private before sharing. If a workflow involves real customer records, it does not belong in this beta.
Guide Workspace Pro: $59 one time, only if enough people want it
Pro would add power features for weekly guide builders. It will never gate exports: full local exports stay free either way. Join the waitlist to be counted and to get one email if Pro launches.
How to choose
- You work alone and want no account, no cloud and no viewer fees: install Guide Workspace free and keep your guides as files.
- Your workplace bans cloud capture tools: Guide Workspace has no server and no upload, so there is nothing for a policy to block, and your library and exports keep working offline.
- A small team needs to edit guides together in real time: MagicHow Advanced Team is built for that; budget $40 per month for 5 seats on annual billing, plus $3 per viewer per month beyond the free allowance.
- You want to trial a cloud tool free first: MagicHow Starter gives you 10 guides, up to 25 members and PDF export at $0.
- You handle real customer data: use neither this beta nor any tool without checking its data handling; Guide Workspace's beta is for practice data.
Frequently asked questions
Is there a free MagicHow alternative?
Yes. Guide Workspace is a free Chrome extension that records step-by-step guides with screenshots, including redaction and exports at no cost. It is local and single-user, where MagicHow is a cloud workspace for teams.
How much does MagicHow cost?
Checked November 5, 2026: Starter is free; Advanced Personal is $10 per seat per month billed annually; Advanced Team is $40 per month billed annually including 5 seats, then $8 per extra seat. Viewers beyond each plan's free allowance cost $3 per month each.
Is MagicHow's free plan any good?
Better than most in this category: up to 10 documents, up to 25 workspace members, browser capture and PDF export included at $0. Blur and HTML or Markdown export are paid features, and desktop capture needs a paid plan.
Does MagicHow charge for viewers?
Yes, beyond a free allowance. Personal charges $3 per month per viewer, and Team includes 10 free view-only members before the same $3 charge applies. Guide Workspace has no viewers to charge for — exported files are simply read.
Is blurring free in MagicHow?
No. “Blur sensitive information on the fly” is listed in the Advanced plans, not in the free Starter plan. Guide Workspace redaction is manual and free, with the covers baked into the exported pictures themselves.
Which of the two captures desktop apps?
MagicHow's paid plans capture on Mac and Windows desktops; its free plan and Guide Workspace are browser only. Guide Workspace records supported web pages in Chrome and nothing else, by design.
Is Guide Workspace ready for real customer data?
No. It is a public beta tested with made-up information. Use it for practice workflows, training material and SOP drafts, check every picture, and cover anything private before sharing an export.
